Terms & Conditions – Kilimanjaro & Safari Adventure

By reserving a spot on this trip and ticking “I agree to the Terms and Conditions” at checkout, you acknowledge and agree to the following:

1. Role of Organizer

This trip is organized by Katy Hurley / Missus Vans as a facilitator. I am not the operator of the Kilimanjaro trek or safari but act as a go-between, coordinating bookings and communication with trusted local providers. Once your booking is confirmed, all services including accommodation, guiding, food, equipment, transport, and activities are the sole responsibility of the local companies contracted to deliver these experiences.

2. Cancellation & Refund Policy

  • 60 days or more before the start date: Payments are 100% refundable, excluding the $350 USD Lifetime Deposit

  • 30 to 60 days before the start date: You will be refunded 60% of your full payment. If you transfer to another date, your payment will be applied toward your new itinerary, and you will be charged an additional $100 per person change fee

  • 10 to 30 days before the start date: No refunds are available. If you transfer dates, your full payment will be applied toward your new itinerary, and you will be charged an additional $150 per person change fee

  • Less than 10 days before the start date: No refunds are available.

Additionally, for safari or Zanzibar accommodations, no refunds are offered within 60 days of arrival.

The $350 USD Lifetime Deposit is non-refundable but can be applied to future trips. g2gadventure.com

Cancellation by Organizer (You):

  • If the trip minimum (8 people) is not met by June 1, your deposit will be refunded in full.

  • If the trip must be canceled due to unforeseen circumstances (e.g., force majeure), recoverable costs will be refunded, excluding non-refundable fees.

No-Show or Travel Issues:

  • No refunds are available for no-shows or missed parts of the trip due to travel delays, illness, or personal matters.

3. Health & Safety

  • You must disclose any medical or physical conditions that may affect your ability to trek or participate in the safari.

  • You are fully responsible for obtaining medical clearance and preparing adequately.

  • All safety, emergency support, and logistical execution are provided by the local mountain/safari providers.

4. Insurance Requirement

All participants are required to hold comprehensive travel insurance covering:

  • Medical emergencies

  • Emergency evacuation

  • Trip cancellation or interruption

  • Lost luggage

You must provide proof of insurance before the trip begins.

5. Liability Waiver

By booking, you acknowledge that mountain trekking and wildlife safaris involve inherent risks, including altitude sickness, injury, illness, or unexpected events. You release Katy / Missus Vans from all liability related to physical injury, illness, damage, or loss that may occur during or as a result of the trip.

6. Force Majeure

If the trip is disrupted due to unforeseen events like natural disasters, political unrest, pandemics, or flight disruptions, we reserve the right to cancel or reschedule. In such cases, only recoverable costs can be refunded. The non-refundable 30% service fee remains.

7. Image & Media Release

Photos and videos may be taken throughout the trip. These may be used for social media and promotional materials unless you notify us in writing before the trip.

8. Privacy Policy

We collect and securely store your personal information for booking, trip communication, and emergency safety purposes. This data is shared only with trusted providers directly involved in your trip. You can request deletion of your data after the trip ends.

9. Code of Conduct

Participants are expected to:

  • Be respectful to guides, fellow travelers, and locals.

  • Refrain from illegal drug use or disruptive behavior.

  • Follow all safety instructions given by mountain and safari guides.

Violation of these rules may result in removal from the trip without refund.

10. Travel & Arrival Policy

Participants are responsible for:

  • Booking their own flights to/from Tanzania

  • Being on time for scheduled transfers and start times

No refunds are issued for missed activities due to travel disruptions or delays.

11. Emergency Contact Information

All participants must provide an emergency contact at the time of booking. This information is only used in case of emergencies and shared with the trip operator for safety purposes.
